This Privacy Policy explains what personal data Labrina (“we”, “us” or “our”) collects, why we collect it and how we keep it safe. It applies to this website and to the services described in our Terms & Conditions.
1. Who is responsible
Labrina is the controller of the personal data described in this policy. When we process data on behalf of a client during a project, the client is the controller and we act as their processor under a separate data processing agreement.
2. Information we collect
2.1 Information you give us
contact details, such as your name, work email and company name;
the details you share in our contact form, by email or on a call;
billing details if you become a client;
feedback you give us about our work.
2.2 Information collected automatically
device and browser type;
pages you visit and how long you stay;
approximate location, based on your IP address;
the website that referred you to us.
2.3 Client data in projects
During a project we may access data held in your systems, such as CRM records or documents. We only access what the work requires, keep it in your accounts wherever possible and never use it for any other purpose.
3. How we use your information
We use personal data only when we have a lawful basis to do so:
to reply to your enquiry and book calls (legitimate interest);
to deliver projects and send invoices (performance of a contract);
to improve the website and understand how it is used (consent, via cookies);
to send occasional updates, only if you opt in (consent);
to meet our legal and accounting obligations (legal obligation).
We never sell your personal data or use it to train AI models.
4. Cookies
We use a small number of cookies:
essential cookies, which keep the website secure and working;
analytics cookies, which show us which pages are useful. These are only set with your consent.
You can change your choice at any time in the cookie banner or block cookies in your browser settings.
5. Sharing your information
We share personal data only with trusted providers that help us run our business, and only under agreements that protect it:
website hosting and forms;
email, calendar and video call tools;
privacy-friendly website analytics;
accounting and invoicing software;
AI model providers used in client projects, under data processing agreements that prevent your data from being used for training.
6. International transfers
Some of our providers are based outside the European Economic Area. When data is transferred, we rely on adequacy decisions or the European Commission’s Standard Contractual Clauses to keep it protected.
7. How long we keep data
enquiries that do not lead to a project: 12 months;
client records and contracts: 6 years after the project ends, as required for tax purposes;
analytics data: 14 months;
newsletter subscriptions: until you unsubscribe.
After these periods, data is deleted or anonymised.
8. Security
We use role-based access, two-factor authentication and encrypted storage, and we log what our automations and agents do. If a data breach affects you, we will tell you and the relevant authority without undue delay.
9. Your rights
Under the GDPR you have the right to:
access the personal data we hold about you;
correct data that is inaccurate or incomplete;
ask us to delete your data;
restrict or object to how we use it;
receive your data in a portable format;
withdraw your consent at any time.
To use any of these rights, contact us through our contact page. We will respond within 30 days. You can also lodge a complaint with the Data Protection Commission.
10. Children
Our website and services are intended for businesses and are not directed at children under 16. We do not knowingly collect their personal data.
11. Changes to this policy
We may update this policy as our services change. The date at the top of this page shows when it was last updated. If the changes are significant, we will let our clients know directly.
